Groups Direct Ltd are following rules to protect and secure your personal data, set by the current UK laws and General Data Protection Regulation (GDPR), which came into force on 25th May 2018.

What data does Groups Direct keep?

The data held is only relevant to the trips you have reserved or booked with Groups Direct. The data, with your consent, is used to send you information which you have requested or which is relevant with a legitimate interest i.e. information on day excursions will be sent to group organisers and/or commerical operators

For excursions and theatre trips

 

The information held  for excursions and theatre trips is secured in a password encrypted file on relevant staff member computers. Any paper copies are kept in a locked filing cabinet. Once the trip has departed, Groups Direct will destroy any documents which include sensitive data.

The data held for your excursions and theatre trips include:

  • Your name

  • Your address

  • Your phone number

  • Your email address

  • Your organisation name

  • Any dietary requirements or access needs

  • (Occasionally vehicle registration numbers)

The company will only send you marketing material that is believed to be of interest to you and/or your group.

For Holidays & Cruises (including overnight packages)

The data held for holiday and cruises is data that is relevant to your trip. The information held is secured in a password encrypted file on relevant staff member computers. Any paper copies are kept in a locked filing cabinet. Once the trip has concluded, Groups Direct will destroy any documents which include sensitive data.

The data held for holiday and cruises includes: 

  • Your name

  • Your address

  • Your passport details

  • Your date of birth

  • Any dietary requirements or access needs

  • (Occasionally vehicle registration numbers)

The company will only send you marketing material that is believed to be of interest to you and/or your group.

Why do Groups Direct collect and hold your data?

The reason your data is collected is to send you marketing materials such as the Groups Direct brochures, email campaigns and anything else that the company honestly believes would be of interest to you and your group.

Where is your data stored?

Your data is stored safely in our booking system (which is fully encrypted and password protected) and on one employee computer (the Data Protection Officer). Both of these methods are secure and password protected. The computer for the DPO is password protected, as well as the database itself. 

When and how do Groups Direct receive your data?

Groups Direct receives your data if you sign up to the mailing list, website and/or email campaigns – this could be over the phone, in person or via email. In addition to the above, please refer to the section below titled 'How Groups Direct have gained your consent' and 'How do Groups Direct receive your consent?'

Groups Direct will only contact clients if they agreed to their contact information being stored in our database or if contact details are easily accessed in the public domain i.e. company websites, coach wrapping and business cards. Groups Direct will not contact clients from unapproved third party data. 

How can your data be removed?

Removing your data is easy – please contact the team on Freephone 0800 049 8309 and ask to be removed from the system.

You can opt-out and be deleted at any time you wish. This means you will no longer receive any post, emails or further correspondence from Groups Direct.

How do Groups Direct receive your consent?

To receive your consent under the new GDPR rules, the company reserve the right to record any calls or messages to be used of consent confirmation. Calls may be recorded for training and quality purposes. When making contact, you will be advised of this prior to speaking with a member of the team.

How Groups Direct have gained your consent

Exhibitions

At exhibitions and trade shows, clients (such as group organisers and commercial operators) give their details to Groups Direct to contact them about day excursions, theatre packages, holidays, cruises and GETAWAYS. The clients are told at the time what they may be contacted about and are aware that they have the right to opt-out easily at any time.

 

Existing reservations or ongoing bookings

Clients with reservations or bookings can be contacted as the company has a Legitimate Interest to contact those people in relation to existing reservations and ongoing bookings. 

 

Advertising

The company sometimes places adverts in industry recognised magazines. Therefore, clients may contact the company directly to enquire about the products advertised or about the company in general. When new clients contact Groups Direct, the company then has a legitimate interest to contact them.

 

Emails

Email campaigns are sent out regularly to targeted audiences to keep the offering client specific. Emails may be about upcoming events, new day excursions, exciting packages or new products. On the bottom of each email is an Unsubscribe option. Clients are free to opt-out of emails at any time. These emails are only sent to recipients that Groups Direct feel may have a legitimate interest in the offering.

 

Industry recognised associations

Groups Direct are members of various industry recognised associations, such as AGTO. Being members of these associations gives the company the freedom to contact clients directly from a shared membership database. The terms under the association include the client giving consent for third parties (other companies who are members of the association) to contact them.

 

Privacy Policy

All members of staff at Groups Direct have a link to the Privacy Policy in the signature of their emails, which gives easy access for clients to access it. The Privacy Policy is clearly displayed on the company website, along with Terms and Conditions.

With a groups ticketing background the founders of Groups Direct understand the needs of Group Organisers and Commercial Operators. Together, they deliver great service, excellent pricing and a variety of product.
